Visuan Web Services – Data Privacy, HIPAA & Information Security
Client Frequently Asked Questions (FAQs) with Professional Answers
For Visuan Web Services, data privacy and regulatory compliance should be an important part of the company’s client communication, particularly when approaching businesses in healthcare, finance, e-commerce, SaaS, professional services and other industries handling confidential customer information.
A prospective client may not simply ask whether your servers are secure. They may want to know:
- Where is their data stored?
- Who can access their information?
- Does Visuan support HIPAA requirements?
- Is Visuan GDPR compliant?
- What happens if a server is compromised?
- Can Visuan sign a Data Processing Agreement (DPA)?
- Does Visuan maintain backups?
- What happens when they cancel their services?
- Can they host patient records or confidential business information?
Below is a client-facing FAQ document with suggested answers for Visuan Web Services.
Important positioning: Visuan should distinguish between providing secure hosting infrastructure and guaranteeing regulatory compliance. HIPAA, GDPR and other privacy regulations impose obligations on the customer as well as, in some circumstances, the hosting provider. We should never claim a certification or compliance status that has not been independently established.
1. General data privacy questions
Q1. How does Visuan Web Services protect client data?
Suggested answer:
Visuan Web Services follows a security-focused approach to hosting infrastructure and client data management. Our services are designed around controlled access, infrastructure security, system maintenance and responsible handling of client information.
Depending on the hosting environment and service configuration, security measures may include access restrictions, firewall protection, security updates, encrypted connections, monitoring and backup solutions.
We continually evaluate infrastructure and operational practices to maintain a reliable and secure hosting environment.
Q2. Does Visuan Web Services have access to our website data?
Suggested answer:
Client data remains under the client’s ownership and control. Our technical personnel may require limited administrative access to hosting environments when providing maintenance, troubleshooting, migration or server management services.
Such access should be restricted to legitimate operational requirements and handled through appropriate access controls. We do not sell client website data or use confidential client information for unrelated commercial purposes.
Q3. Can Visuan employees view our databases, files or customer information?
Suggested answer:
Access to client environments is limited to authorized personnel who require it to perform their assigned technical responsibilities.
Where administrative access is necessary, it should be used strictly for the requested support activity, troubleshooting or infrastructure management. Clients should also maintain their own application-level access restrictions and database permissions.
Q4. Does Visuan share customer information with third parties?
Suggested answer:
Visuan Web Services does not sell client information or share it for unrelated marketing purposes.
Certain infrastructure and operational services may involve third-party data centre operators, network providers, software vendors and other service providers. Where applicable, such providers may process or have access to information necessary to deliver the service. These relationships should be governed by appropriate contractual and security arrangements.
Q5. Who owns the data hosted on Visuan servers?
Suggested answer:
The client retains ownership of its website content, databases, applications, files and business information.
Visuan Web Services provides the hosting infrastructure and associated technical services. Hosting a client’s information does not transfer ownership of that information to Visuan.
Q6. Where is our data physically stored?
Suggested answer:
Data location depends on the hosting product and selected server location.
Visuan Web Services offers infrastructure solutions in different geographical locations, including the United States. We can identify the applicable hosting location before service activation so that clients can evaluate their data residency and regulatory requirements.
For customers with specific data residency obligations, the selected server location and any relevant backup or support arrangements should be reviewed before deployment.
Q7. Can you guarantee that our information will never be accessed by unauthorized persons?
Suggested answer:
No hosting provider can responsibly guarantee absolute immunity from cyberattacks, unauthorized access or other security incidents.
However, Visuan Web Services aims to reduce these risks through appropriate infrastructure safeguards, access management, system maintenance and security practices. We also recommend that clients implement strong passwords, multi-factor authentication and application-level security.
2. HIPAA-related questions
Important compliance distinction
HIPAA is particularly important when dealing with hospitals, clinics, healthcare software developers, medical practices, patient portals and businesses processing protected health information (PHI).
Under US HIPAA rules, a cloud provider that creates, receives, maintains or transmits electronic protected health information (ePHI) on behalf of a covered entity or business associate can itself become a Business Associate. A Business Associate Agreement (BAA) is generally required for that relationship. Even encrypted storage without access to the decryption key does not automatically remove this responsibility.

Q8. Is Visuan Web Services HIPAA compliant?
Suggested answer:
Visuan Web Services takes data security and privacy seriously and recognizes the importance of HIPAA requirements for healthcare organizations.
However, we do not currently represent our entire hosting platform as HIPAA-certified or independently HIPAA-audited.
HIPAA suitability depends on the complete hosting environment, technical safeguards, operational procedures, contractual arrangements and the responsibilities of all service providers involved.
Healthcare clients should discuss their specific requirements with our technical team before hosting any electronic protected health information.
Q9. Can we host patient records and medical information on Visuan servers?
Suggested answer:
Healthcare-related applications and sensitive information require additional security and regulatory consideration.
Before accepting patient records or electronic protected health information, we would need to evaluate the proposed hosting architecture, access controls, encryption, logging, backups, incident response arrangements and applicable contractual obligations.
We recommend discussing these requirements with our team before transferring any patient information.
Q10. Can Visuan sign a HIPAA Business Associate Agreement (BAA)?
Suggested answer:
BAA requirements depend on the services being provided and whether Visuan is acting as a Business Associate under HIPAA.
We are prepared to review the proposed agreement and its associated obligations. However, signing a BAA would be subject to an internal compliance assessment, confirmation of the necessary technical and operational safeguards, and verification that relevant infrastructure providers and subcontractors can support the required contractual arrangements.
We do not promise BAA acceptance before completing this assessment.
Q11. Do you provide HIPAA-compliant dedicated servers?
Suggested answer:
We can discuss dedicated server configurations for healthcare applications that require greater infrastructure control and isolation.
However, dedicated hardware alone does not make an environment HIPAA compliant. The overall deployment must also address administrative safeguards, access management, encryption, monitoring, backup procedures, incident response and contractual requirements.
Q12. Is a KVM VPS suitable for storing healthcare data?
Suggested answer:
KVM VPS technology provides virtualized computing resources with an isolated guest environment.
Whether a particular VPS configuration is appropriate for healthcare information depends on the complete infrastructure, provider arrangements, administrative controls and security configuration.
We recommend evaluating the intended application and compliance requirements before using a VPS to store or process ePHI.
Q13. Do you encrypt patient information?
Suggested answer:
Encryption requirements should be evaluated across both data transmission and data storage.
HTTPS/TLS can protect information transmitted between users and applications. At-rest encryption may also be configured at appropriate storage, server or application levels, depending on the service architecture.
For healthcare deployments, we would need to document the actual encryption implementation, key management responsibilities and any relevant limitations before making a specific compliance commitment.
Q14. Do you maintain access logs and audit trails?
Suggested answer:
Server and system logging capabilities depend on the selected hosting environment and management configuration.
For deployments requiring formal audit trails, we can review the necessary logging, administrative access records, retention periods and monitoring arrangements as part of the technical assessment.
Clients should understand that application-level audit logging may also need to be implemented independently.
Q15. What happens if patient information is exposed or compromised?
Suggested answer:
If a suspected security incident affects a client’s hosting environment, the incident should be investigated promptly.
Our response process would focus on identifying the affected systems, containing the incident, preserving relevant technical information and coordinating with the client on remediation and applicable notification obligations.
Where Visuan is acting as a HIPAA Business Associate, incident and breach reporting obligations would also be governed by the applicable BAA and HIPAA requirements.
Q16. Are your data centres HIPAA certified?
Suggested answer:
HIPAA does not provide an official government certification or endorsement for hosting providers or data centres.
Our infrastructure providers and facilities may have their own independent security certifications, audit reports or compliance documentation. Such documentation must be evaluated individually and should not be interpreted as automatically establishing HIPAA compliance for a complete hosting service.

We can review DPA requirements and discuss an appropriate agreement based on the actual services, processing activities, data categories and applicable legal obligations.
Q20. Do you provide details of third-party subprocessors?
Suggested answer:
Depending on the service, delivery may involve infrastructure operators, data centre providers, network providers and software vendors.
Where a formal data-processing arrangement applies, relevant subprocessor information and associated contractual responsibilities should be documented and made available as required under the applicable agreement.
Q21. Can customers request deletion of their personal data?
Suggested answer:
Yes. Customers can request account closure and deletion of data held within Visuan-managed systems, subject to applicable contractual, technical and legal retention requirements.
Backup copies and system-level records may remain for a defined period before being overwritten or securely disposed of, depending on the relevant retention policy.
Q22. How long do you retain customer information?
Suggested answer:
Data retention depends on the nature of the information, the hosting service, backup configuration and applicable legal or contractual requirements.
Customers should review the relevant service agreement and retention arrangements. We aim to handle information according to defined operational and retention requirements rather than retain it indefinitely without a legitimate purpose.
